Declaring War On The Salesforce Notification Bell
Why We Miss What Matters in Salesforce
I’ve worked with Salesforce for years. I love working with it. I've built my career around it - spending countless hours trying to make it better: smarter automation, cleaner data, more intuitive UIs.
But despite that effort, one problem just kept coming back: important things were being missed - all the time.
🗣️ “We’re not getting to leads fast enough.”
🗣️
“Our urgent cases aren't being picked up, or actioned.”
🗣️
“How did nobody see the contract was expiring?"
No matter how much we customised Salesforce, no matter how polished the user experience, people still missed things.
Why Was This Happening?
The usual suspects didn't seem to fit ...
Training Issue?
❌ No. These are seasoned Salesforce users who know the system inside out.
System Adoption?
❌ No. Salesforce is deeply ingrained in the company's processes. Salesforce is the way work gets done.
Laziness?
❌ Definitely not. Missing these tasks hurt their own targets and creates more work for everyone.
So What Was It?!
It was only when speaking to our users, seeing how they work, and hearing ...
- "I completely forgot"
- "Sorry, I got distracted"
- "Oh, I didn't see that"
... that I realised the real underlying problem.
Salesforce Hides What Matters
Salesforce is powerful, but it’s overwhelming. Everyone's busy and the information they need is scattered: across tabs, buried in reports, hidden in related lists. Making it nearly impossible for anyone to keep up.
When our users log in to Salesforce, they want to know:
❓ “What changed while I was away?”
❓ “What is slipping through the cracks?”
❓ “Who’s waiting on me to respond?”
❓ “What do I need to follow up on?”
Salesforce does NOT make this easy. There’s no single place that answers the most important daily questions, and yet you're expected to stay on top of it all.
The Real Cost of Missed Moments
Missed actions cost time, money and mental energy.
When people say ... | They're really saying ... |
---|---|
"We're not getting to leads fast enough" | "We're wasting time on cold leads and losing sales!" |
"Our urgent cases aren't being picked up, or actioned." | "We're damaging our reputation and losing customers" |
"How did nobody see that contract was expiring?" | "We're missing renewals and losing revenue!" |
And when managers say; "My team is constantly missing stuff!", they really mean:
"I'm tired of chasing people to keep things moving!"
Salesforce is one of the most powerful platforms in the world. So why is everything that needs attention scattered everywhere, and why are we so powerless when it comes to tackling this problem?
The Question That Changed Everything
Then I had a thought:
- What if we could put Salesforce on autopilot?
What if Salesforce could keep an eye on our work queues, tasks, deals, leads, cases, approvals, calendars, chatter, and more.
Watching everything, all day long, and proactively flagging anything that needs our attention - long before an issue escalates, before an opportunity is missed, before someone starts shouting.
Like a digital assistant that never sleeps.
💬 “This account hasn’t heard from you in a while. Want to check in?”
💬 “A hot lead just came in! Let’s say hello before someone else does.”
💬 “There's something waiting for your approval. Take a quick look?”
Catching what others miss, bringing everything to the foreground and working tirelessly to help the right people, take the right action, at the right time.
That idea became an obsession. That obsession became
Act On It.
Why the Notification Bell Had to Go
I set out to build what I believed Salesforce was missing: a smarter, more proactive notification system. But I immediately hit a major challenge - delivery.
❌ Email? Too much noise. People complain, or stop reading.
❌ Chatter notifications? Easy to miss, quickly buried.
❌ The Salesforce bell? Passive. Inflexible. No real control.
We can't solve this by adding more noise. We need something better. We need a new way to think about notifications entirely.
Reimagining Notifications From the Ground Up
Most people think notifications are just ... alerts. But I've always seen them as something more.
- A chance to intervene at the right moment.
- A chance to guide proactive action instead of react to outcomes.
- A way to help people succeed without chasing, checking, or guessing.
And above all, a way to free people to focus on what matters, knowing they’ll be looped in exactly when needed.
In that context, Salesforce native alerts fall flat. They’re passive, inflexible, and when they're not irritating, they're easy to miss.
So we've built what we believe Salesforce should have had all along: A proper notification and alerting platform.
Native. Flexible. Proactive. Smart. Visible. And
designed for action!
Here's How We've Tackled It (and Why!) ...
✅ The Inbox Salesforce Forgot to Build
We wanted to bring all notifications into one organised, filterable and actionable location, so we created an all-in-one notification console. Everything you need to know, in one place. Delivering on more than 100 features requested by the Salesforce community (IdeaExchange), and allowing users to quickly cut through the noise; search, snooze, preview, save or act - all from one hub!

⚡ Smart Notification Builder
We wanted to free managers from supervising and chasing, so we created a user-first notification builder. A tool for cloning yourself by creating smart, proactive alerts that monitor Salesforce for you. Intelligent query-based, data-driven alerts, created in minutes. The equivalent of hiring a team to run all your reports all day long and step in when needed. That means: no more chasing or checking! Act On It keeps watch and nudges your team when it’s time to act.

🔔 Customizable delivery
We wanted more ways to keep our team in the loop, so we added 9 additional delivery options, providing 500+ unique ways to send notifications that work for everyone. A catalog of new and unique delivery methods to flexibly adapt your messages to match the mood and urgency, each enabled at the click of a button!

Or better yet,
let
users decide how and where they’re notified! One size doesn’t fit all ...

👉 Action With One-Click
To help users act instantly from any alert, we empowered admins to create reusable plug-in actions for rapid responses to any task. Approve, assign, comment, complete, without switching tabs or breaking focus.

🌍 Act On It Anywhere!
To reach users where they work, we integrated with Salesforce's email plugin and mobile app to turn email and mobile alerts into instantly actionable work items.

📊 Insights & ROI
We wanted to see the impact Act On It was having on our business, so we added advanced alerts and engagement tracking, giving full visibility into which alerts drive action. For our managers to see what's working, and what's not.

💡 Salesforce Users Deserve Better
Salesforce does a lot well. But it doesn’t help people stay on top of what matters in the moment. It reacts after the fact. It asks you to check reports, chase updates, toggle tabs.
Salesforce should be more than just a database. It should watch, think, and help.
Act On It makes Salesforce feel like it’s finally working with you.
It’s the notification platform Salesforce should have had all along.
